We are seeking an ENTRY LEVEL Meeting and Event Coordinator, located in the PITTSTOWN, New Jersey office as a corporate meeting and event planning coordinator. Travel is 15 to 20%. This person reports to the Meeting Planner and Account Manager. We offer full benefits and a 401K.
This position is primarily responsible for working on various meetings and special events projects for major companies. This position is also responsible for working closely with other staff members within EWC (East West Connection) by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following. Other duties may be assigned.
Assists with planning and implementing meetings from beginning to end under supervision of Account Manager.
Handles logistics for meetings such as rooming lists, food and beverage, transportation.
Provides follow-up to Meeting Planner and Account Manager to ensure accounts are properly handled.
Develops creative approaches to provide clients with ideas and opportunities.
Assists with the development of registration websites in CVENT.
Interacts with hotel, venues, production and audiovisual companies.
Assists with budget management and reconciliation as requested.
Supervises the production of signage, brochures and other meeting materials.
Coordinates travel arrangements for client as needed.
Maintains vendor resource files.
Answers and fields telephone calls.
Attends business meetings as requested by Account Manager.
Writes client meeting recap reports.
Prepares meeting and event timelines.
Participates in and prepares new business presentations.
