Onsite property manager is responsible for day-to-day operations for Broadway Terrace, an affordable housing apartment complex for seniors 62+ located near Metrocenter.
Under the direction of the Senior Property/Asset Manager, the onsite manager will: Become familiar with the site manager's handbook as well as all ManSerMar Inc Policies & Procedures. Understand the property's PM schedules, IPM, Inspections, etc.
Supervisory: Train, supervise all onsite staff. Including staff evaluations. Establish schedules and assign personnel for routine maintenance and emergency coverage. Supervise maintenance staff, Administrative Assistant, onsite vendors/contractors. Approve timesheets daily.
Administrative: Ensure all administrative deadlines are met for program compliance (202/8) and LIHTC, Assist and Prepare, process, and sign all leases and related forms. Collect rents and handle delinquent accounts. Make bank deposits daily. Handle all details of move-ins and move-outs, giving special attention to apartment inspection check in and checkouts. Keep all on site files: Current, Orderly and Complete.
Physical Building: Oversee unit turns and Assist and Ensure that residents are provided with a clean, safe, well maintained community. Ensure that all maintenance requests are handled on an immediate on call basis, if possible, and that residents are notified if parts must be ordered, causing a delay. Continually inspect property and improvements, recording deficiencies and taking the necessary action, within budgetary allocations. Establish schedules and assign personnel for routine maintenance and emergency coverage. Perform annual inspections of all units.
Financial: Adhere to Procurement Policy. As well as all maintenance and purchasing directives, including, but not limited to: Property inspections, Maintenance work orders, Peg board system controls, Landscaping and grounds, Safety, Special maintenance items, Purchase order procedure, Inventory control. Purchasing office, maintenance, janitorial supplies. Maintain necessary records of all transactions of the property. Maintain purchase order log, vendor W9/COLI/WC log, etc.
Residents: Work with residents and resident organizations. Ensure that current extended services programs (ie- mobile clinics, markets, health partnerships, holiday donors, service coordinator events, etc) are maintained, as well as work to create new partnerships with senior specific programs that enhance the life of the community's residents as well as perpetuate ManSerMar's mission. Maintain activities calendar/newsletter. Market property through the community partnerships, associations as well as the required AFHMP and as directed by PM.
Emergencies: Respond and dispatch appropriate help for any after-hours emergency. Report accidents and emergency situations to the Property Manager immediately and prepare the proper reports.
Onsite manager will regularly report and seek guidance of Asset/Senior PM on property operations. As well as submitting all reports, required weekly, monthly, annually. All administrative deadlines for onsite files.
